Welcome to Buena Vista Studio. These Terms & Conditions govern the use of the Buena Vista Studio website, studio rental services, memberships, equipment, amenities, partner locations, and related services. By accessing our website, completing a reservation, purchasing a membership, participating in an authorized event or program, or entering and using Buena Vista Studio, you agree to these Terms & Conditions and any additional policies or agreements applicable to your booking. Please review these Terms before booking or using the studio.
1. About Buena Vista Studio

2. Acceptance of Terms
By booking or using Buena Vista Studio, the renter confirms that they have reviewed and agreed to these Terms & Conditions, applicable booking policies, and the Studio Guide. The individual completing the reservation is considered the primary renter and is responsible for ensuring that all clients, guests, vendors, assistants, and other individuals associated with the reservation comply with applicable studio policies. Certain services, including memberships, workshops, events, partnerships, promotions, or specialty rentals, may be governed by additional agreements or policies. When a separate written agreement applies to a service, the separate agreement will control regarding any conflicting terms specific to that service.
3. Official Booking Channels
Valid reservations must be made directly through Buena Vista Studio or an official booking platform or link authorized by Buena Vista Studio. Official channels include: Website: buenavistastudiosa.com
Instagram: @WelcometoTheBuenaLife Reservations, payments, communications, or arrangements made through prior studio operators, unrelated individuals, businesses, or unauthorized platforms are not considered valid Buena Vista Studio reservations. Renters are responsible for confirming that their reservation has been completed through an authorized Buena Vista Studio booking channel.
4. Website Use
The Buena Vista Studio website is provided for information, booking, membership, communication, community programming, and related business purposes. Users agree not to misuse the website, interfere with its operation, attempt unauthorized access, submit fraudulent information, impersonate another person or business, or use the website for unlawful purposes. We make reasonable efforts to keep information regarding pricing, availability, studio features, policies, and services accurate. However, information may be updated as the studio evolves, and availability is subject to change.
5. Reservations and Payments
A reservation is not confirmed until the required booking process and payment have been successfully completed. Studio availability is not guaranteed until confirmation is issued. Pricing, rental options, promotional offers, and included amenities may vary. The terms and pricing presented at the time of booking apply to that reservation unless otherwise agreed in writing. All studio rental payments are non-refundable except where expressly stated otherwise in these Terms or required by applicable law.
6. Cancellation, Rescheduling, and Studio Credits
Studio rental payments reserve exclusive access to the studio during the selected reservation period and are therefore non-refundable. Requests made more than 72 hours before the scheduled reservation may be rescheduled to another available date or time, subject to availability. Requests made between 24 and 72 hours before the scheduled reservation will receive a studio credit that may be applied toward a future eligible booking. Requests made less than 24 hours before the scheduled reservation, as well as no-shows, are not eligible for a refund, reschedule, or studio credit. To request a reschedule or eligible studio credit, contact: hello@buenavistastudiosa.com Studio credits have no cash value and may not be redeemed for cash. Any expiration dates, restrictions, or promotional conditions associated with a particular credit will be communicated when the credit is issued.
7. Rental Period, Late Arrivals, and Overtime
The reserved booking period includes setup, session time, breakdown, cleanup, and studio reset. Arriving late does not extend the reservation. The booking will end at the originally scheduled time, and unused time resulting from late arrival will not be refunded or credited. Renters, clients, guests, vendors, equipment, and personal belongings must be fully removed from the studio by the scheduled end time. Additional studio time may be added when available but is not guaranteed. Any approved additional time will be charged according to the studio's current rental rates. If the renter or any member of their party remains in the studio beyond the scheduled reservation period without approved additional time, overtime will be charged at the studio's current hourly rental rate in 30-minute increments. If an overage delays, disrupts, or otherwise impacts a subsequent reservation or studio operations, additional reasonable charges may apply. Repeated disregard for reservation end times may result in restriction or loss of future booking privileges.
8. Studio Access and Building Access
Access to Buena Vista Studio is provided solely for the renter's authorized reservation period or according to separate membership access terms. Access codes, entry instructions, keys, credentials, or other access methods provided by Buena Vista Studio are intended only for authorized use and may not be shared, duplicated, transferred, published, or provided to unauthorized individuals. Renters are responsible for all individuals they admit into the studio or building in connection with their reservation. Building access procedures may vary based on building operating hours. Renters and guests must follow all current entry, exit, security, and access instructions provided by Buena Vista Studio.
9. Warehouse 5 and Shared Building Areas
Buena Vista Studio and Warehouse 5 operate as separate businesses. Renters and guests must respect all shared spaces, building property, common areas, neighboring businesses, tenants, and visitors. Noise and activity must remain appropriate for a shared commercial building. Disruptive, unsafe, destructive, or disrespectful conduct may result in immediate termination of the reservation without refund and restriction of future access.
10. Guests, Minors, and Renter Responsibility
Studio rentals must be booked by an individual 18 years of age or older. The person completing the booking is responsible for the conduct, safety, and compliance of all clients, guests, assistants, vendors, contractors, and other individuals present in connection with the reservation. Minors are permitted only when appropriately supervised by a responsible adult aged 18 or older. The supervising adult assumes responsibility for the safety and conduct of minors under their supervision. Renters must comply with any studio occupancy limits communicated by Buena Vista Studio.
11. Equipment, Furniture, Props, and Backdrops
Available studio equipment, furniture, décor, props, lighting equipment, backdrops, seamless paper, mirrors, stands, and other amenities must be handled responsibly and used only for their intended purpose. Items may not be removed from the studio without prior written authorization. Furniture and equipment must be lifted and moved carefully rather than dragged across floors or surfaces. All equipment, furniture, and props must be returned to their designated or original placement before the reservation ends unless otherwise instructed. Availability of specific equipment, furniture, props, colors, backdrops, or amenities is not guaranteed unless expressly included in the applicable booking.
12. Cyclorama Use
The studio cyclorama must be used with care. Renters and guests must follow all posted or communicated cyclorama rules, including footwear, furniture placement, movement of equipment, and use of the stage or curved surface. Furniture and equipment must not be dragged across the cyclorama. Climbing, jumping, or other activity that may damage the structure or surface is prohibited. Renters are responsible for damage, excessive cleaning, repainting, repair, or restoration required because of misuse during their reservation.
13. Cleaning and Studio Reset
The reservation period includes cleanup and resetting the studio. Before leaving, renters must: Remove all trash and personal belongings. Return furniture, props, and equipment to their appropriate locations. Clean surfaces used for food, makeup, styling, props, or other materials. Leave the studio in substantially the same condition in which it was received. If excessive cleaning beyond normal turnover is required, a $45 cleaning fee may be charged. Additional professional cleaning or restoration costs may be assessed when necessary.
14. Damages, Repairs, and Replacement Costs
The renter is responsible for damage caused by the renter or any client, guest, vendor, contractor, assistant, or other person associated with the reservation. This includes damage to studio furnishings, décor, equipment, props, backdrops, cyclorama, walls, floors, mirrors, lighting equipment, building property, and shared areas. When damage occurs, Buena Vista Studio may charge the reasonable cost necessary to repair or restore the affected item or area. If an item cannot reasonably be repaired, the renter may be charged the full replacement cost, including applicable shipping, labor, installation, or related expenses. A 25% administrative and convenience fee may be added to repair or replacement charges to cover sourcing, coordination, processing, and restoration time. Damage must be reported before the reservation ends. Charges for damage, excessive cleaning, overtime, or other applicable policy violations will be invoiced to the renter and are due upon receipt.
15. Safety and Prohibited Activities
Renters and guests are expected to use the studio safely and professionally. Unless prior written approval has been obtained, the following are prohibited: Open flames. Smoke machines. Glitter or confetti. Hazardous, toxic, combustible, or dangerous materials. Drilling, nails, or permanent alterations to walls or structures. Adhesives or materials that may damage studio surfaces. Unsafe use of studio equipment, furniture, props, or facilities. Illegal activity. Activities that create an unreasonable safety risk or materially disrupt neighboring tenants or building operations. Buena Vista Studio may immediately stop any activity reasonably believed to create a safety, property, legal, or operational risk.
16. Personal Property
Renters and guests are responsible for their own cameras, lenses, computers, phones, clothing, props, products, equipment, and other personal belongings brought into the studio or building. To the extent permitted by law, Buena Vista Studio is not responsible for personal property that is lost, stolen, misplaced, left behind, or damaged on the premises, except to the extent caused by Buena Vista Studio's own negligence or other liability that cannot legally be excluded. Renters are responsible for removing all personal property at the end of their reservation.
17. Assumption of Risk and Limitation of Liability
Use of a photography and creative studio may involve risks associated with lighting equipment, stands, cables, furniture, props, elevated surfaces, equipment movement, and other normal studio activities. Renters are responsible for using the studio and equipment appropriately and for supervising individuals associated with their reservation. To the fullest extent permitted by applicable law, Buena Vista Studio and TAKENBYABY LLC will not be liable for indirect, incidental, special, or consequential damages arising from use of the studio, website, equipment, amenities, or related services. Nothing in these Terms is intended to waive or limit liability that cannot lawfully be waived or limited.
18. Photography, Video, and Content Created at the Studio
Renters are responsible for photography, video, audio, recordings, productions, and other content created during their reservation. Renters are responsible for obtaining any permissions, releases, licenses, or consent required from individuals, clients, models, performers, copyright holders, property owners, or other parties involved in their production. Buena Vista Studio does not claim ownership or copyright in photographs, videos, recordings, or other creative works produced by renters or their clients during a studio reservation. Ownership and usage rights remain with the applicable creator, client, or rights holder, subject to agreements between those parties. Buena Vista Studio is not responsible for how renter-created content is subsequently published, distributed, licensed, sold, displayed, or monetized. Content or productions that violate applicable law are prohibited.
19. Security and Video Surveillance
For safety, security, property protection, and incident documentation, portions of Buena Vista Studio and/or common areas of the Warehouse 5 building may be subject to video surveillance. Recordings may be reviewed when reasonably necessary in connection with safety concerns, property damage, unauthorized access, policy violations, disputes, or other security incidents. By entering areas where surveillance is lawfully in use, renters and guests acknowledge that security recording may occur. Surveillance practices are subject to applicable law and Buena Vista Studio's privacy practices.
20. Workshops, Events, and Group Use
Standard studio reservations may be used for eligible individual creative sessions, client photography, content creation, and mini sessions. Workshops, classes, styled shoots, networking events, ticketed events, organized group learning experiences, or other activities involving paid participants or organized attendance require prior written approval from Buena Vista Studio. Studio time may not be resold or represented as the renter's own venue rental offering without authorization. Unauthorized workshops, classes, events, or resale of studio access may result in termination of the reservation without refund, additional applicable charges, and restriction of future booking privileges.
21. Memberships
Studio memberships are subject to the membership pricing, access rules, booking allowances, term requirements, deposits, restrictions, and other conditions presented at enrollment or contained in a separate membership agreement. These general Terms continue to apply to members while using Buena Vista Studio unless a membership-specific agreement provides otherwise. If a membership agreement conflicts with these Terms regarding a membership-specific matter, the applicable membership agreement will control. Membership access and benefits may not be transferred or shared except where expressly authorized.
22. Partner Locations
Buena Vista Studio may collaborate with other studios, venues, creative spaces, or businesses to offer events, workshops, membership benefits, promotions, rentals, or other opportunities. Individuals using a partner location through an authorized Buena Vista Studio arrangement must comply with these Terms where applicable and with any additional policies established by the partner location. Participants must treat partner property, furnishings, décor, equipment, and facilities with appropriate care. Each partner business remains independently owned and operated and is responsible for its own operations, employees, contractors, services, property, and business activities. A collaboration, referral, promotion, or shared benefit does not create a partnership, joint venture, employment relationship, or agency relationship between Buena Vista Studio and another independent business unless expressly established by written agreement.
23. Intellectual Property and Website Content
Unless otherwise stated, the Buena Vista Studio name, branding, logos, website copy, graphics, designs, photographs owned by Buena Vista Studio, educational materials, guides, and other original business content are owned by or licensed to Buena Vista Studio or TAKENBYABY LLC and are protected by applicable intellectual property laws. Website visitors and renters may not copy, reproduce, sell, distribute, republish, or commercially exploit Buena Vista Studio-owned materials without authorization. This provision does not give Buena Vista Studio ownership of renter-created photography or content as described in Section 18.
24. Third-Party Services and Links
Buena Vista Studio may use or link to third-party services for scheduling, payments, maps, social media, communication, galleries, or other business functions. Third-party services may be governed by their own terms and privacy policies. Buena Vista Studio is not responsible for the content, availability, policies, security, or independent operation of third-party websites or services, except as required by applicable law.
25. Privacy
Information collected through the website, inquiry forms, booking systems, communications, or other services is handled according to Buena Vista Studio's Privacy Policy and applicable law. Please review the Privacy Policy available on our website for additional information about how personal information is collected, used, and handled.
26. Right to Refuse or Terminate Service
Buena Vista Studio reserves the right, consistent with applicable law, to refuse, cancel, suspend, or terminate a reservation or future booking privileges when a renter, guest, or associated party engages in unsafe, unlawful, abusive, threatening, fraudulent, destructive, disruptive, or materially policy-violating conduct. A reservation terminated because of a material policy violation may be forfeited without refund to the extent permitted by law. Individuals may be required to leave the premises immediately when necessary to protect safety, property, other occupants, or studio operations.
27. Governing Law
These Terms & Conditions are governed by the laws of the State of Texas, without regard to conflict-of-law principles. To the extent permitted by applicable law, disputes arising from these Terms or the use of Buena Vista Studio will be handled in the appropriate courts located in Bexar County, Texas.
28. Changes to These Terms
Buena Vista Studio may revise these Terms & Conditions periodically to reflect changes in studio operations, services, policies, or applicable requirements. The current version will be published on this page with an updated revision date. For an existing reservation or membership governed by terms accepted at the time of purchase, later material changes will not retroactively replace those agreed terms unless the parties agree otherwise or the change is required by law.
